Your home records can be deeply personal. This policy explains what information Silo-360 handles, why we use it, and the choices and rights available to you.
Who we are
Silo-360 provides a digital service for homeowners to organise property records, documents, maintenance information, costs and contacts. Silo-360 is the controller of the personal information described in this policy unless we explain otherwise.

Information we collect
- Account information, including your name, email address, sign-in details and account preferences.
- Property information you provide, such as an address, property characteristics, estimated value, maintenance history and costs.
- Records and files you upload, including certificates, invoices, warranties, photographs, manuals and notes. These may contain information about you or other people.
- Contact details you store for contractors, tradespeople, advisers and service providers.
- Technical and usage information, including device and browser information, approximate location derived from an IP address, security events, pages used and error diagnostics.
- Communications you send to us, including support enquiries and feedback.
How and why we use information
- To create and operate your account and provide the Silo-360 service under our contract with you.
- To store, organise, search and display the property information and files you ask us to process.
- To maintain security, prevent misuse, diagnose faults and protect the service and its users, based on our legitimate interests and legal obligations.
- To respond to enquiries, provide service messages and administer our relationship with you.
- To improve reliability and usability using aggregated or appropriately minimised usage information, based on our legitimate interests.
- To comply with law, enforce our terms and establish or defend legal claims.
Legal bases
Under UK data-protection law, we rely on performance of our contract where processing is necessary to provide your account and requested features. We rely on legitimate interests where we improve and protect the service without overriding your rights, legal obligation where the law requires processing, and consent where we specifically ask for it. You may withdraw consent at any time, without affecting earlier processing.
Sharing and service providers
We do not sell your personal information. We share it only where needed with trusted providers that support hosting, data storage, authentication, communications, analytics, error monitoring and security. They may process information only under our instructions and appropriate contractual safeguards.
We may also disclose information where required by law, to protect rights or safety, in connection with a business reorganisation, or when you direct us to share or export it. Information in a future Property Pack will not be shared unless you choose to create and disclose that pack.
International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we use safeguards recognised by UK law, such as an adequacy regulation or approved contractual protections, and assess relevant risks where required.
Retention
We keep account and property information while your account is active and for a limited period afterwards where necessary for security, legal compliance, dispute resolution and backups. Support records and technical logs are retained only as long as reasonably needed for those purposes. When information is no longer required, we delete or anonymise it in line with our retention practices.
You should retain your own copies of important property documents. Closing an account may not immediately remove information from encrypted backups, which are deleted through their normal rotation.
Security
We use organisational and technical measures designed to protect information, including access controls, encrypted connections, restricted file access and monitoring. No online service can guarantee absolute security. Keep your password confidential, use a unique password and tell us promptly if you believe your account has been compromised.
Cookies and local storage
Silo-360 uses essential browser storage and similar technologies to keep you signed in, remember the active property and maintain security. These are necessary for the service to work. If optional analytics or marketing technologies are introduced, we will provide appropriate information and choices before using them where consent is required.
Your rights
Depending on the circumstances, UK law gives you rights to access, correct, erase or restrict your personal information. You may also object to certain processing, receive portable information and complain about automated decision-making. Silo-360 does not currently make decisions producing legal or similarly significant effects solely by automated means.
Send a request to hello@propertyOS.co.uk. We may need to verify your identity. You may also complain to the UK Information Commissioner's Office at ico.org.uk, though we would appreciate the opportunity to address your concern first.
Other people and children
If you upload information about another person, you are responsible for having a lawful reason to do so and for providing any notice required. Silo-360 is not intended for children under 18, and we do not knowingly collect their account information.
Changes to this policy
We may update this policy as the service or law changes. We will publish the revised version here and update its effective date. If a change materially affects your rights, we will provide reasonable notice through the service or by email.
